Glossary
Here are the key terms used by Content Retention Manager for Confluence (CRMC):
- audit log
- A log of all the actions which users and the app automation (if enabled) have taken.
- retention status
- The current lifecycle state of a piece of content as determined by Content Retention Manager. Possible values: RETAINED (active, within policy), EXTENDED (date-based extension applied), EVERGREEN (indefinite extension, never expires), ENDING (nearing expiration), ENDED (policy period has elapsed; content will be deleted then purged). - automation
- A feature that automatically archives, deletes, and/or purges content according to the retention policies.
- classification level
- An additional dimension by which you can categorize content in Confluence into varying levels of sensitivity and security.
- classification rule
- A feature that allows a specific Classification Level to be applied to all content in a Confluence space. This can be overridden by a user setting a specific Classification Level for a piece of content.
- delete
- When users move content to the Confluence trash. Content in the trash can be restored by a Space admin. Content in trash is discoverable, and a purge is required to fully remove it.
- indefinite
- Content with an indefinite retention period is marked as EVERGREEN in the Content Audit and will not be subject to automation. Note that content with an indefinite retention period may still be deleted via Confluence by users with delete permissions and purged by space admins.
- purge
- When data is removed from the trash and is permanently disposed of. This is the same action as Confluence space admins purging content from the trash.
- retention policy
- A named definition specifying how long content should be retained, along with a warning period and optional automation and purge delay settings. Each policy has a unique code, a trigger (content creation date or last modified date), and a retention duration in days. Policies are used by the default retention setting and by retention rules. - retention rule
- An assignment that applies a specific retention policy to a particular entity, such as a user, group, space, or classification level. When content matches a rule, the rule's policy overrides the default retention. Rules can also be scoped to a date range. See also: retention policy.
- retention period
- The number of days that content is certain not to be purged by CRMC.
- status
- The content's Confluence status, which could be current, archived, or trashed.
- CRMC user
- Any Confluence user who accesses Content Retention Manager. Admin users (Confluence Admins and delegated admins) can configure policies, classification levels, and automation, and can archive, delete, or purge content. Non-admin users (Standard edition only) can access the app via the Apps menu to view retention status and, if permitted by admin settings, set classification levels on content they can edit.
